Refund & Cancellation Policy

This policy covers how cancellations, rescheduling, deposits and retainer terminations work for codebridgelab engagements. It applies alongside our Terms of Service.
1. Estimates
A written estimate we send you is valid for 30 days from its date. After that, we may need to reconfirm pricing and availability before an engagement begins.
2. Starting an engagement
An engagement begins once you accept a written statement of work and pay a deposit of 30% of the first phase. Work and team allocation begin only after the deposit is received.
3. Cancelling before an engagement starts
If you cancel at least 10 business days before the agreed start date, your deposit is refunded in full. If you cancel inside that 10-business-day window, the deposit is retained as a booking-retention fee, since we've reserved senior capacity for your project that we're no longer able to allocate elsewhere at short notice.
4. Cancelling mid-engagement
Either of us can end an engagement with 15 days' written notice. You pay for all work completed and accepted up to the termination date; any prepaid balance beyond that is refunded within 30 days. All work product completed and paid for is handed over to you in full, with full IP transfer, regardless of who initiated the cancellation.
5. Rescheduling
You get one free reschedule of a project's start or an active phase, with at least 10 business days' notice. Rescheduling inside that window may incur a charge of up to 25% of the affected phase, to cover reserved capacity we can't reallocate in time.
6. Retainers
Maintenance and team-augmentation retainers run on a rolling monthly basis. Either party can end a retainer with 30 days' written notice. Unused hours within a month do not roll forward into the next month, and we don't refund the current month once it has begun.
7. Fixed-scope changes
A fixed-scope estimate covers exactly what's written in the agreed scope. Anything beyond that goes through a written change request and a revised estimate before we continue — see our Terms of Service, section 5.
8. Statutory withdrawal rights
Our engagements are business-to-business contracts. Where Portuguese or EU law grants a consumer a 14-day right of withdrawal from a distance contract, that right applies only if you're contracting with us as a consumer rather than a business, and it is expressly waived where you ask us to start work within that 14-day period — in that case, if you later withdraw, you pay in proportion to the work already carried out, as required by law.
